3. Categories of records
Records that may be available without a formal request
- Website policies, product and public business information.
- Published marketing material and customer information.
- Records a data subject may access under POPIA, subject to identity verification and lawful restrictions.
Records that may require a PAIA request
- Company, governance, ownership and statutory records.
- Financial, banking, tax, accounting, insurance and audit records.
- Employee, contractor and human-resources records.
- Customer, supplier, order, payment, delivery, return and complaint records.
- Product, inventory, traceability, food-safety, quality and recall records.
- Contracts, correspondence, legal and regulatory records.
- Information-technology, security, website and incident records.
- Intellectual-property and marketing records.
Listing a category does not mean every record exists or must be disclosed. Access is assessed under PAIA, POPIA and other applicable law.
4. Records kept under legislation
Where applicable to the business and a particular record, records may be kept under legislation including PAIA, POPIA, the Companies Act, Consumer Protection Act, Electronic Communications and Transactions Act, Income Tax Act, Value-Added Tax Act, Basic Conditions of Employment Act, Labour Relations Act, Unemployment Insurance legislation, Occupational Health and Safety Act, Compensation for Occupational Injuries and Diseases Act, Foodstuffs, Cosmetics and Disinfectants Act, Agricultural Product Standards Act and Meat Safety Act.
This list is not exhaustive and does not concede that every Act applies in every circumstance.
5. How to request access
- Use the current prescribed PAIA Form 2, published by the Information Regulator. We link to their copy rather than hosting our own, so you always get the current version; if that link has moved, the form is listed on the Regulator’s PAIA page.
- Identify the record clearly, the preferred form of access and your contact details.
- If requesting a private body’s record, identify the right you seek to exercise or protect and explain why the record is required for that purpose.
- Send the signed form and proof of any applicable fee to the Information Officer at hello@rawhfoods.co.za.
- Provide reasonable proof of identity or authority when requesting another person’s record.
A request may be granted, partly granted, transferred or refused only on grounds permitted by law. The prescribed response periods and extensions apply.
6. Fees
Any request, access, reproduction, search or preparation fee will be calculated under the current PAIA regulations. We will issue the required notice before work for which a fee is payable. A requester may challenge a fee through the remedies available under PAIA.
7. POPIA processing
The purpose, categories of data subjects and information, recipients, international processing, retention, security and data-subject rights are described in the Privacy Notice. Categories may include customers, prospective customers, employees, contractors, suppliers, representatives, website users and complainants.
Information may be supplied to authorised staff, operators, couriers, payment providers, professional advisers, regulators and public bodies where necessary and lawful. Appropriate safeguards are used for operator relationships and cross-border transfers.
8. Remedies
If a PAIA request is refused, unanswered or otherwise disputed, the requester may complain to the Information Regulator or approach a competent court within the applicable period. A privacy complaint may also be lodged with the Information Regulator under POPIA.

This manual is available free of charge on this website in two forms: this web page, and a PDF copy for printing or filing. The web page is the authoritative version. Corrections are made here first and the PDF is re-issued to match, so a downloaded copy should be checked against this page.
The manual is also available from the Information Officer by email at hello@rawhfoods.co.za, for inspection at the principal place of business in Paarl during normal business hours by prior appointment, and to the Information Regulator on lawful request. An electronic copy is free of charge; a fee for physical copies may be charged only as permitted by the applicable PAIA regulations. The manual will be reviewed when business particulars, laws or record practices change.
